The Administrative Assistant, reporting directly to an assigned member of management, provides general administrative support to the departments and will ensure that all administrative functions are processed and completed in a timely and efficient manner.
Essential Functions:
- Support the assigned member of management and the department in all daily activities.
- Answer the telephone with the utmost professionalism, urgency, screening, and prioritizing calls.
- Provide backup support for the Reception Desk, as needed. Coordinate with other administrative staff to ensure proper coverage for assigned departments.
- Distribute mail and fax correspondence.
- Prepare and maintain departmental reports as directed by Department Head. .
- Track Associates’ shifts and attendance records in conjunction with Department’s supervisors and managers.
- Inventory maintenance and draft purchase requisitions.
- Schedule departmental meetings
- Reconcile Travel and Expense forms and Corporate Card Statements as assigned.
- Draft routine correspondence and memoranda.
- Maintain office equipment (fax, copier, etc.).
- Record and file maintenance of all Associates within the department.
Education & Experience/Abilities:
- High School Diploma required.
- A.A. Degree or equivalent from an accredited college preferred.
- Six (6) months to one (1) year of related experience is preferred.
- Must have strong general PC knowledge with Microsoft Office applications.
- Ability to handle confidential information responsibly and professionally in accordance with departmental policies.
- Excellent written and verbal communication skills.
- Ability to work autonomously, prioritize assignments, and follow up with colleagues to ensure the completion of assigned tasks.
- Ability to demonstrate a thorough understanding of administrative-related functions.
