The Administrative Assistant provides general administrative support to one or more departments and will ensure that all administrative functions are processed and completed in a timely and efficient manner.

Essential Functions:

  • Answer the telephone with the utmost professionalism, urgency, screening, and prioritizing calls.
  • Coordinate their time with other administrative staff to ensure proper coverage for assigned departments.
  • Mail and fax distribution.
  • Prepare and maintain departmental reports as directed by Department Head.
  • Track Associates’ time and attendance records of staff as needed.
  • Inventory maintenance and draft purchase requisitions as required.
  • Schedule departmental meetings and taking minutes as required.
  • Reconcile Travel and Expense forms and Corporate Card Statements as assigned
  • Create and or and maintain meeting materials and presentations.
  • Draft routine correspondence and memorandum.
  • Maintain office equipment (fax, copier, etc.)
  • Record and file maintenance of all Associates within the department.
  • Independently research a wide variety of information requests from the Department Head.
  • Maintenance of spreadsheets for use in daily analysis.

Knowledge & Skills:

  • Must have strong general PC knowledge with Microsoft Office applications.
  • Ability to handle confidential information responsibly and professionally in accordance with departmental policies.
  • Excellent written and verbal communication skills.
  • Ability to work autonomously, prioritize assignments, and follow up with colleagues to ensure the completion of assigned tasks.
  • Ability to demonstrate a thorough understanding of administrative-related functions.

Education & Work Experience:

  • High School Diploma required.
  • A.A. Degree or equivalent from an accredited college preferred.
  • Two (2) or more years of experience providing administrative support in a professional corporate office setting required.
